MINUTES from

DISTRICT 18 EXECUTIVE COMMITTEE meeting

Tuesday, March 9, 2004, 7:30 A.M.

1733 East Gable Avenue, Mesa

The meeting was called to order at 7:45 by Chairman Jeff Groscost.  Also present were Paul & Joanne Knowles, Linda Ash, Matt Tolman and Fred Ash who took minutes.

PRAYER:        Matt Tolman.

OLD BUSINESS:

            1.  It was decided that the meeting should be at 8:00 A.M. on the 2nd Tuesday of each month-regardless of whether it comes after the 1st (when the EGC meeting is held ) or 2nd Thursday of the month.

            2.  Discussion was held as to the success of the last district meeting held on February 26 with the City council candidates.  Conclusion was that it went well, without a lot of the confrontation that occurred at the District 19 meeting, because the questions were controlled.  It also appears that the code to the parking lot functioned properly.  Everyone thought the song was a nice beginning and should be continued with the standing for a pledge and then a prayer.

            3.  It was decided that the meeting on March 25th will be a similar forum with the candidates for the County Attorney position being invited to participate.  Jeff will contact them and Fred will call Jared Langkilde at MCC (461-7396) (C-641-8874) to have the room set up with tables and mikes for each of the 5 speakers.  (We did not discuss nameplates for them which we had for the council candidates-which Joanne made?).  The meeting will also have the legislator’s reports.

             4.  A study of the bylaws will be postponed until at least April and then we can also have a forum for the candidates for County Treasurer.  The district boundaries may not be resolved until May.  The May meeting could include the candidates for sheriff.  During the summer we can have the ACC candidates speak as well as the congressional candidates, Jeff Flake and Stan Barnes.

NEW BUSINESS:

            1.  A notary is needed at our meetings so that PC applications can be notarized.  Joanne will sent a request by email to all advertising such.  Matt Tolman is going to become a notary and Cecil Ash is one.

            2.  The Bush campaign wants a Team leader from each precinct.  They agreed to coordinate this with the district leadership rather than go around them.  Purpose of the TL is to recruit other TL’s in the precinct for an organization to get out the vote.  Jeff asked Linda and Fred to select persons from their quadrants such as the captain of the precinct?   The names will be given to the Bush Campaign in Az, Pamela?

            3.  There are opportunities for the District and the school clubs to earn money.  Mike Gleason, ACC will pay $.50 per nominating signature up to $500 or 1,000 signatures.   The Bush campaign will pay $3 per Republican registration.  Linda will talk to the principal at Mesa High to see if a table can be set up to register students.  Must be 18 by Election Day November 2.  Completed forms must go through Jeff.

            4.  Suggestions were asked for people who might be appointed to head up or assist on the working committees such as the Refreshments, Bylaws, Get Out the Vote, Name Tags for the PC’s, PC Recruitment, Voter Registration, and Voter Vault.

            5.  Information sheets passed out show that LD18 has 285 allotments for PCs and 109 vacancies.  Matt Tolman agreed to serve as the Chair of PC Recruitment.  Charlie Hendrix was suggested for Voter Registration and also Cecilia Fleming.

            6.  Request was made for names of anyone that might want to go to the Republican National Convention in New York City Aug 30, 2004 through Sept.2, 2004. Cost would be about $2000.   A caucus of our District must be held between Mar 27-April 17th to elect delegates to the state convention to be held on Saturday May 8th where 49 and 49 will be elected to go to N.Y..   LD 18 has 28 delegates and 28 alternates.  Meeting must be published.  3 delegates and 3 alternates are elected by each of the 8 congressional district caucuses then 25 delegates and alternates are elected at large to go to the convention as well as the Az. Rep. Nat’l Committeeman and woman.  Proxies are not allowed and one has to be at the state convention to get elected.

            7.  The question was asked by Judge Pearce if information regarding the North Mesa Justice Court could be put on our web site.  It was decided to have links on our web site for any elected official that was from our district without any charge.  If there is a desire to have advertisements of businesses of PCs from our district then we could discuss that in the future and any charges.

            8.  Status of the Voter Vault information for the Vice Chairmen was discussed.  Fred will call Scott Stewart to get the names of the people who signed up for it at the meeting 2 months ago.

No further business coming before the committee the meeting adjourned at appx. 9:45 A.M.
